How Org Structure Works in Enforcium

What Org Structure shows

Org Structure is a visual map of the company’s organizational structure. It lets you build the company hierarchy, create Business Units and Positions, assign employees to them, and see how different levels of the organization are connected.

It provides a clear view of the company structure and its relationships. From a specific Position, you can access its responsibilities, assigned employees, activity history, related processes, and metric access.

How Org Structure is built

The organizational structure is built from the top down.

Start with the company leader and add the following levels according to the actual structure of the business:

CEO → Business Units / Departments → Positions → Employees

The structure should reflect the company’s actual hierarchy, including its departments, the Positions within them, and reporting relationships.

In Org Structure, you can see:

  • the company and its departments
  • the hierarchy of Positions
  • who occupies each Position
  • how many employees are assigned to each Position
  • which Positions are currently vacant

How Positions work

In Org Structure, Position and Employee are separate concepts.

A Position is a role within the company structure with defined responsibilities.

For example:

Head of Marketing

↓

Product Marketing Specialist

↓

Copywriter

The company creates Positions first. Specific employees can then be assigned to those Positions.

For example:

Example
Position
Copywriter
Employee
Emma Carter

A Position can exist before anyone is hired for it. This allows the company to build the team structure first and gradually assign employees as roles are filled.

When an employee leaves the company or moves to another role, the Position can remain in Org Structure for the next employee.

Depending on the company structure, several employees can also occupy the same Position.

Org Structure is therefore built around roles and responsibilities, with employees assigned to those roles.

How to add an employee

To add a new employee, assign them to the appropriate Position and enter their work email address.

Enforcium then automatically sends an invitation to that email address.

The process is:

Position → Add Employee → Enter work email → Send invitation → Employee opens the link → Accepts the invitation → Gets access to Enforcium

The administrator does not need to create an account on the employee’s behalf.

You can also remove an employee from a Position through Org Structure when they leave the company or move to another role. The Position can remain in the structure.

View Mode and Edit Mode

Org Structure has two working modes.

View Mode lets you review the current company structure, including Business Units, Positions, and employees.

Edit Mode lets you make changes to the structure, such as creating and editing Business Units and Positions and changing their place in the hierarchy.

What you can see inside a Position

Click a specific Position in Org Structure, such as Copywriter, to open its dedicated page.

Several tabs are available there.

Job Description contains the responsibilities and expectations associated with the Position. It also shows Linked Processes, which are processes containing steps related to this Position.

Employees shows the employees currently assigned to the Position.

Activity History shows changes and actions related to the Position.

Metrics Access shows the metrics the Position can access. For each metric, you can see the metric name, Accountable position, latest value, last update date, and access level.

Who can manage a Position's Job Description

The ability to create and edit a Job Description depends on the Position’s place within the organizational hierarchy.

  • For a department employee — Head of Department, a Position above the department, or CEO.
  • For a Head of Department — a Position above the department or CEO.
  • For a Position above a department — CEO.

This section focuses on the logic of the organizational hierarchy. Access Roles are covered separately in Access Roles in Enforcium.

The core logic of Org Structure

Org Structure connects the company structure with the roles and people within it.

At the company level:

Company → Business Units → Positions → Employees

At the Position level:

Position → Job Description → Employees → Activity History → Metrics Access

This lets users move from “How is our company structured?” to more specific questions such as

  • Who occupies this Position
  • What is this Position responsible for
  • Which processes does it participate in
  • Which metrics can it access
